ProAM modules are tightly integrated which avoids duplicate data entry. Common system features are shared among the ProAM family so whether you are in Cabo Timekeeper, SpenceBay Calendar or Accounts Payable, a single click can launch a system-wide search, send an email, start a letter, or pop up your calculator. The powerful notification system can automatically distribute reports and separately notify designated parties of any changes to data or other specified alerts such as aged Accounts Receivable or deposit information!
ProAM modules are feature-rich with robust entry, informative displays and numerous and varied built-in reports. The depth of the delivered ProAM system meets the needs of the majority of our clients; however, if required, customization is a common feature among all modules. Form customization permits managers to retitle field captions, hide unused fields, password protect other fields and format data entry. Custom fields may be added to any form. Reports may be customized in the same way, including font changes and the addition of bitmaps such as firm logos. Of course, you may write reports 'from scratch' if you prefer.

Accounts Payable:
ProAM's Accounts Payable is fully integrated to the General Ledger module. Payment terms may be set by vendor or by invoice. During entry of Accounts Payable, allocation of the invoice may be split to different General Ledger accounts, either as a percentage or specific dollar amount. Recurring invoices are entered once with an expiration date based on the timeframe of the recurring expense.
Accounts Payable invoice entry is integrated to the Accounts Receivable module for billing purposes, eliminating any re-entry of client costs advanced. If an expense is associated with an Accounts Receivable client ledger, the invoice may be flagged so payment to the vendor occurs when the client has reimbursed the firm.
Detailed purchase and payment histories are maintained for as long as desired. 1099 reporting is included.Void checks are auto-reversed from Accounts Receivable client ledgers, as appropriate, and General Ledger. Any number of bank accounts may be maintained with full bank reconciliation provided.

Accounts Receivable:
This is the heart of the ProAM system, where transactions for fees, costs and trust are entered, client billings are processed and client payments are entered. Accounts receivable can accommodate special addresses (including electronic), task-based timekeeping, client budgeting, and unlimited rates. The system is delivered with many standard statement formats, including electronic. Prior period statements may be viewed, reprinted or cancelled at any time.
Payments, write offs, discounts and adjustments may be allocated by item, date or pro rata. Fee income allocations may be specified at client or matter level. Billed transactions as well as payment, trust and retainer detail, are maintained for as long as desired. Each employee's billing and payment history (as work, responsible, billing or source) is maintained.
Accounts Receivable is integrated to Cabo Timekeeper for time tracking, to General Ledger for financial reporting, and to Accounts Payable for costs advanced.

General Ledger:
Accrual and Cash Basis ledgers are maintained simultaneously without intervention by the user. In addition, the system can automatically maintain subsidiary ledgers by working, billing, source and responsible employee, as well as by office, profit center and practice areas.
General Ledger accounts may be assigned to special allocation methods which automatically calculate based upon prorata, fixed or flat dollar amounts or percentage allocations. As an example, a group of accounts in General Ledger may be allocable among a set of partners based upon a fixed percentage-no special adjusting entries are required, just set up the allocation method and the system makes the entries to the separate accounts for you.
Histories and detail account transactions may be maintained for as long as desired. Each account may maintain multiple budgets. The standard financial reports delivered with the system include current and prior period comparisons, 12-month proforma reports, this year/last year with difference, budget variance reporting as well as many others. All account's include a monthly footnote to explain special activity or circumstances in a period.

Payroll:
Payroll includes hourly, salary and bonus payrolls. Pay cycles may be weekly, bi-weekly, semi-monthly and/or monthly. Special payrolls accommodate immediate and extra pay needs.
Multiple benefits levels may be established for accruing vacation and sick benefits. Direct deposit payrolls may split employee pay among multiple bank accounts.
Employment histories, education, memberships and other personal information may be maintained in the system. Payroll is integrated directly to General Ledger for financial reporting and to the Mombasa Search Engine so conflict situations are avoided.
Costs of employees may be spread among multiple cost centers in General Ledger. Quarterly and annual payroll tax reporting is provided.

Cabo Timesheet:
Each timekeeper, or the timekeeper's assistant, will use Cabo to enter time worked. Cabo is integrated to Accounts Receivable for client, matter and rate information. "Quicknames", uniquely chosen by each timekeeper, bypass learning client/matter numbers. Our Cabo clock will keep track of those important minutes for you and can be set to auto-start with a new timeslip. Task codes (ABA or specific client codes), as well as budgets for the tasks, may be assigned for clients. Personal text codes for ease of entry, and a spell check finish the honest-to-goodness-easy entry of your time.
Displays include your daily, weekly, and monthly hours worked for billable, and non-billable clients, as well as additional breakdowns of your daily, weekly and monthly billable, contingent and firm hours. Cabo is integrated to the rest of the ProAM modules for single-click displays of client/matter information including contacts and billing and payment status.
When finished with your entries, print your work to review before "releasing" the time to the billing department. And, you have all of your work histories available, to print or view, for every client, at the touch of a button! Never again will you have to wait for someone else to tell you how many hours were worked yesterday, or last year. With Cabo, your work, and your staff's work, are merely a click away.

Spence Bay Calendar:
Spence Bay Calendar displays your calendar and the calendars of your staff. The Calendar can immediately calculate specifically designed due dates for you and your business, whether it is a real estate issue, a meeting every six months, a conference, or a docket item in Federal court.
Your work (and social) schedule will be available for review by you, your assistant, and your team, and even that all-important child's soccer game will be highlighted. Now, scheduling a meeting with a client, and other members of your office is a mouse click away, avoiding days of emails and phone calls. And, assigning tasks and due dates to one person (remember the soccer game!), or a team of people (the real estate closing), is easily managed.
SpenceBay is integrated to ProAM's other modules, automatically providing notice to all timekeepers who may have recorded time on a matter. Integration also includes access to all contacts or related parties.
Reminders of what's coming up appear when you want them to, and do not "go away" until you say so. Your schedule, and those of your staff, has never been easier to manage.

Mombasa Fileroom and Search Engine:
Mombasa is the general purpose search engine integrated to all ProAM modules for quick searches and formal Conflict searching. All new file intake information and file tracking is managed in Mombasa, including off-site storage.
The Mombasa search engine may be used in two ways: Mombasa's Quick Search button on each form's toolbar is a handy, immediate search tool. Beyond Quick Searches, a formal Conflict Search Request procedure documents searches by requesting party, purpose, date and time with the 'hit' result. Any number of names may be searched in a single pass. Searches may be set up as one-time or on a recurring basis. Both Quick Search and the formal Search Request methods permit literal or phonetic searches, and the scope of the search may focus to specific record types or conditional arguments.
Search Maintenance reports become part of the permanent file record when accepting new client engagements and Mombasa even prints new file labels customized by file type. A number of bar coding standards are supported. Mombasa users can track the location of a file, including check in/out and off-site storage.

Tristan Business Development:
Any number of contacts can be associated with any record in any ProAM module. The contacts are the core of the Tristan Business Development system with each contact able to maintain multiple firm signatories and practice interest areas.
Selection criteria can be stored for recurring usage and mailing types may be directed to home, office, email or other addresses with custom salutations depending upon the firm signatory. Firm events are easily managed in Tristan, from generation of phone follow-up lists for tracking responses to mailings, printing event name badges for firm functions and even reporting attendance!
Firms can also utilize Tristan for managing recurring tasks, such as new client communications, which can be scheduled for automatic generation weekly or monthly.
